This color coding is feasible by creating additional rolled-up task bar-style definitions, including flags to support distributing the colors among the numerous schedule tasks.

Tasks can be rolled-up at the summary level in Microsoft Project and they can be differentiated by using the color code task roll-up bars. The color coding for ‘Insulate Piping’ is more effective left light blue and other respective task colors are overlaid on top. It is worth noting that our ‘Insulate Piping’ has no flag. Although this is a time consuming tedious task, our resulting ‘Pipe Repair’ project is displayed in Figure 8.

We continue to update the flag for each activity to offset the task colors. We set ‘Drain Piping System’ Flag1 to Yes, and note the rolled-up task updated color, as in Figure 7. We insert the four flag columns into the task table as in Figure 6. Figure 5Įach new definition copies the original, but has a unique color and flag filter. By entering the bar styles dialog, we insert four additional ‘rolled-up task’ bar definitions, as in Figure 5. If we color code the rolled-up tasks, this will help to differentiate among them. Our tasks are rolled up, shown in Figure 4, but they are all the same color, therefore it is harder for us to distinguish between them. In ‘Layout’ we check ‘Always roll up Gantt bars’ and click ‘OK’, as shown in Figure 3. We want to roll up the tasks, so we right-click on the Gantt chart and select ‘Layout’ from the menu as displayed in Figure 2. Gantt bars look simple enough, but they can get confusing as projects get more complex. However, when putting the project on a large screen TV, it's either too small or too large! I've tried to adjust the TV settings, but then the image comes too blurred. What I don't see is a zoom function for the WBS area, which would be nice to have sometimes.įor example, on a standard desktop computer monitor, the views are clear. We know that MS Project has been around for quite a while & it does has spell checker & a zoom function for the Gantt chart area. I would think that some functions would or could be basic, such as having a spell checker & zooming functions, which most MS Office applications has.

Why an easy solution if you can make it complicated? This all together is often more than Excel would be able to offer. In a Custom report you can apply your own Tables, Filters and amount of additional details.

Next, make more use of Reports, often neglected. I use a lot of Custom Fields in which I combine several other fields in order to incorporate these in the Gantt charts. You can easily amend the Gantt chart as you like and add relevant information to that. Different Gantt charts are possible in the lower pane as well. In addition there are the combined Views where in the bottom pane you could show for instance Predecessors and Successors. There is hardly anyone who can immediately absorb the information in let's say 8 columns or more. MS Project is a database and not a bunch of simple tables like Excel can offer.

I even make quite a lot with different Filters and/or Grouping included in it, just to show relevant details from different angles. You can make as many as you like, each time with different fields, just fast switching from one to the other view. Still, the best alternative in MS Project would be to make different Views. I fully agree that a zoom function for tables might be useful. So we are stuck with MS where each and every software tool behaves quite differently. The Lotus suite [with WordPro, etc.) did that. The mistake many people, including sometimes myself, make is to believe that the products within the Office suite are behaving in a similar manner. Never did I see software without desire from my side for additional options, possibilities, gadgets and so on.
